How to Hand Off a WhatsApp, Instagram, or Facebook Chat to a Human
How to hand off a WhatsApp, Instagram, or Facebook chat to a human without asking the customer to switch apps.

Human handoff on WhatsApp has to happen inside WhatsApp. The customer is not going to move to your website so a person can join. The same is true for Instagram and Facebook. Here is how to take over a thread on the channel they chose, with the history already in front of you.
1. Write the handoff rules once
Use the same triggers on every channel. A refund dispute is a refund dispute on Facebook and on the website.
- They asked for a person.
- The assistant cannot ground the answer in your knowledge or catalog.
- The message is angry, urgent, or about money you did not automate.
- They want something custom.
The older guide to chatbot-to-human handoff still applies. The inbox now includes WhatsApp Business, Instagram, and Facebook, not only the site.
2. Join from Live Agent, on the same thread
Open the conversation in Live Agent. Read what the assistant already said. Reply as yourself. The customer stays in WhatsApp, Instagram, Messenger, or the website widget. You are not opening a second phone and asking them to repeat the order number.
3. Take over from the web or your phone
Web, iOS, and Android show the same inbox. If you are away from the shop, you can still take the thread that needs you and leave “what are your hours?” with the assistant. Live monitoring lets you step in before the assistant keeps going.
4. Tell the truth about who is available
If nobody can join until morning, the assistant should say so and keep the thread for you. It should not imply a teammate is about to hop in at midnight. That rule matters even more on WhatsApp, where people expect a fast human reply. Pair it with after-hours support.
Frequently asked questions
Does the customer see that a human joined?
They see the reply continue in the same chat. You can introduce yourself in the first message you send. The transcript you see includes what the assistant already covered.
Should handoff rules differ by channel?
Keep one set of rules. Volume will differ. WhatsApp may find gaps faster than the website. Fix the rule once and every channel follows it.
Set the rules before the loud channel goes live
WhatsApp volume will test every missing policy. Write the triggers, then connect the channel and work the queue from the unified inbox.
